Participation Policy

Participation Policy explains how you participate in WESIO events.
1. Eligibility and Registration
• Participation in WESIO Events is open to individuals (Participants) and their legal representatives (Clients) who complete the Application for Accession and agree to the Terms and Conditions of the Public Offer Agreement.
• Acceptance into any Event is confirmed upon issuance of a Conditional Offer Letter and full payment of the Event Fee.
• Acceptance into any Event is confirmed upon issuance of a Conditional Offer Letter and full payment of the Event Fee.
2. Payment Terms
• Participation in Events is subject to 100% prepayment as per the invoice and Participation Package selected.
• Fees do not typically include travel fees.
3. Event Participation Conditions
• Participants are obligated to:
o Attend the entire scheduled program (without violating the participation regulations),
o Adhere to the event's ethical standards and code of conduct.
o Comply with all health and safety requirements (do not attend the event if you are sick, do not hide your illness, and do not expose other guests to the risk of respiratory, viral, or other illnesses).
• WESIO reserves the right to refuse participation or terminate access for the following reasons:
o Violation of payment terms,
o Disruptive or unethical behaviour,
o Force majeure or other unforeseen events.
o Attend the entire scheduled program (without violating the participation regulations),
o Adhere to the event's ethical standards and code of conduct.
o Comply with all health and safety requirements (do not attend the event if you are sick, do not hide your illness, and do not expose other guests to the risk of respiratory, viral, or other illnesses).
• WESIO reserves the right to refuse participation or terminate access for the following reasons:
o Violation of payment terms,
o Disruptive or unethical behaviour,
o Force majeure or other unforeseen events.
• Organisation
All information from active participants (championship participants, jury members, speakers) necessary for the event must be provided to the organizers no later than five weeks in advance (photo of the speaker, video or PDF presentation, speech outlines for announcements and social media). Any corrections to this information may be made no later than 14 days before the event. Changes made by the Client at short notice that result in significant additional organizational costs or additional administration for both the organizers and the host (technical services of rental companies) must be paid by the Client additionally at the current rate of GBP 200 for each correction.
